AppliAI Terms of Service
AppliAI provides AI-assisted tools to help users tailor CVs, generate cover letters, practise mock interviews, and build application materials more efficiently. These Terms explain the rules for using the platform and the limits that apply to both users and the service.
1. Introduction
AppliAI is a digital platform that offers AI-assisted career tools designed to support job applicants.
The service may include CV tailoring, cover letter generation, AI mock interviews, CV builder tools, document storage, and related account features.
These Terms govern your access to and use of the platform, website, applications, and related services.
2. User Agreement
- You must be at least 18 years old to create an account, or otherwise have permission from a parent, guardian, or other legally authorised person where applicable.
- By signing up, accessing, or using the service, you agree to these Terms of Service, the Privacy Policy, and any policies clearly referenced inside the platform.
- If you do not agree with these Terms, you must not use the service.
3. Data Processing and Usage
AppliAI processes information you submit so the platform can generate tailored outputs and operate your account.
This may include CVs, job descriptions, prompts, interview responses, account details such as your name and email address, and other user inputs you provide while using the service.
The main purposes of processing are to deliver tailored CVs, generate cover letters, run AI mock interviews, save your work, improve platform functionality, prevent misuse, and maintain service performance.
- Primary lawful bases: contractual necessity and legitimate interests.
- Users may request access to, correction of, or deletion of their personal data, subject to legal and operational limits.
- Sensitive or special-category personal data should only be uploaded where you are comfortable for it to be processed for the requested service.

4. Data Storage and Retention
User content and account data are stored using secure backend infrastructure, including services such as Supabase where applicable.
Unless a longer period is required for legal, security, fraud-prevention, or dispute-resolution reasons, personal data is retained for a maximum of 12 months after your last login.
After that retention period, data is deleted, de-identified, or anonymised where reasonably practicable.
- You may request deletion of your account data earlier at any time.
- Backups and logs may persist for a limited period before secure deletion cycles complete.
5. AI Usage Disclosure
AppliAI uses AI systems to generate, revise, analyse, and structure outputs based on the information you provide.
AI-generated outputs may contain mistakes, omissions, inaccurate statements, unsuitable phrasing, offensive wording, biased or inappropriate content, or suggestions that do not fit your circumstances.
The service may follow user instructions about tone, emphasis, formatting preferences, or content direction. Users are responsible for the instructions they provide and for the outputs they choose to use, share, copy, submit, or publish.
- You remain responsible for reviewing, editing, and approving all generated content before using it.
- You must remove or correct any false, misleading, offensive, unlawful, discriminatory, confidential, or otherwise inappropriate material before using an output.
- AppliAI does not endorse, verify, approve, or guarantee user prompts, user-uploaded content, AI-generated content, or final documents produced from user instructions.
- The platform does not guarantee job offers, interview success, recruiter responses, or any employment outcome.
- AI outputs are assistive tools only and should not be treated as authoritative legal, hiring, immigration, or professional advice.
6. Service Availability and Product Changes
We may update, suspend, improve, or remove features from time to time to maintain security, performance, compliance, or product quality.
Reasonable maintenance, outages, third-party failures, and technical interruptions may affect availability.
- Beta or experimental features may change more frequently and may be less stable than core features.
- We may place limits on usage, storage, or access levels depending on your plan or platform capacity.
7. Payments and Billing
Paid plans are billed on a recurring subscription basis unless clearly stated otherwise at checkout.
Payments are processed securely by Stripe or another authorised payment provider.
- AppliAI does not store full card numbers or complete payment credentials.
- You authorise recurring billing for the subscription you select until you cancel.
- You are responsible for keeping your billing information accurate and up to date.
8. Refund Policy
All subscription payments are final and non-refundable, except where a refund is required by applicable law.
If you cancel your subscription, no further renewal charges will be taken after the current billing period ends.
- Your access continues until the end of the paid billing period already purchased.
- Cancelling a subscription does not automatically delete your account or stored content.
9. Data Security
AppliAI uses industry-standard administrative, technical, and organisational measures intended to protect user data.
These measures may include encryption in transit, secure authentication, access controls, and monitoring of core infrastructure.
- No online system can be guaranteed to be completely secure.
- You are also responsible for protecting your password, devices, and account credentials.
10. User Responsibilities
- Provide information that is accurate, lawful, and not misleading.
- Only upload content that you have the right to use and authorise us to process.
- Do not upload illegal, infringing, harmful, malicious, or abusive material.
- Do not ask the service to create content that is false, misleading, defamatory, discriminatory, hateful, offensive, unlawful, infringing, or otherwise harmful.
- Review all generated CVs, cover letters, interview feedback, and other outputs before using them.
- You are responsible for any final content you submit to employers, recruiters, platforms, or third parties.
- Do not misuse the service, attempt unauthorised access, reverse engineer restricted systems, or interfere with platform stability.
11. Intellectual Property and Licence
The platform, software, branding, interfaces, and service materials remain the property of AppliAI or its licensors, except for content you submit.
You retain ownership of your submitted materials, but you grant AppliAI a limited licence to host, process, store, and transform that content as necessary to operate, secure, and improve the service.
12. Limitation of Liability
To the fullest extent permitted by law, AppliAI is not liable for indirect, incidental, consequential, special, or business losses arising from your use of the service.
This includes, without limitation, losses relating to job outcomes, missed opportunities, reliance on AI outputs, user prompts, user-uploaded content, generated documents, third-party outages, or data loss caused by events beyond reasonable control.
AppliAI is not responsible for false, inaccurate, misleading, offensive, unlawful, discriminatory, or otherwise unsuitable content generated from user instructions or user-provided material where the user chooses to use, submit, publish, or rely on that content.
- You are responsible for the final decisions you make based on any content generated or suggested by the platform.
- You are responsible for checking whether outputs are accurate, appropriate, lawful, and suitable before use.
- Nothing in these Terms excludes liability that cannot lawfully be excluded under applicable law, including liability for fraud or fraudulent misrepresentation.
13. Account Termination
We may suspend, restrict, or terminate access where we reasonably believe there has been misuse, unlawful conduct, security risk, payment failure, or breach of these Terms.
You may stop using the service and request account deletion at any time.
14. Updates to These Terms
We may update these Terms from time to time to reflect legal, technical, commercial, or product changes.
Where changes are material, we will take reasonable steps to notify users through the website, product interface, or account communications.
15. Governing Law
These Terms are governed by the laws of England and Wales.
Any dispute arising from or related to the service will be subject to the jurisdiction of the courts of England and Wales, unless mandatory local law requires otherwise.
